VIP guest recovery scripts

When a premium tour hits a snag, I have hosts respond within 5 minutes, offer an immediate make-good (private lounge access or priority re-entry), and follow up before 7 p.m. with a personal note. Does anyone have guest-facing wording you use that keeps the tone warm and exclusive without sounding canned?

But i use: I’m sorry we missed a beat — let me make this easy: as our VIP guest, we’ve opened [Lounge Name] for you now and arranged priority re-entry for [Experience]; I’ll check back before 7 — ‘you shouldn’t have to ask; we’ll come to you’ — think concierge, not call center. If they flagged a preference at check-in, I swap the perk to match (quiet lounge vs. thrill re-entry) so it reads bespoke.

But quick example I use: “That wasn’t the seamless moment we promised — thanks for your patience; I’ve opened [Lounge Name] for you with hosted refreshments, and when you’re ready I’ll walk you back to [Experience] with no waiting — would you prefer a quiet alcove or a window table?” If the lounge is tight, I swap to a reserved viewing spot or a chef’s tasting to keep it feeling bespoke; do you also send a quick text check-in at the 20-minute mark, or just the 7 p.m. note?
